You got a good marketing that your business receives a lot of orders everyday. With the long line of clients who want to get your service, you could be wealthy by now. However, what hinders you from achieving this goal is the slow production in your enterprise. With so many clients hovering at your front door and pending orders everyday, you have no choice but to stop marketing and admittance of more clients because you usually just end up disappointing them.
No matter how many clients you take if your business is slow in accomplishing their orders, still you will not earn that much. Slow production or turnaround of orders results to delays which can give a negative impression to your market. Moreover, this will also cause your other clients to look for other companies because they cannot wait for a long time for their turn to be accommodated by your enterprise if they can get it faster elsewhere. Therefore, this means that you still get a few clients and of course, a lesser income.
It is not enough that a business produces quality services or merchandise. Fast response to the needs of the clients is also essential so that you can have more rooms for earning. In other words, your business needs to be efficient in your work. Efficiency means being effective in your work at a short possible time.
If you are having a hard time with this kind of business problem, you need to find their roots and find ways of how to end them. The common causes of slow production or service are these—disorganized work system, ineffective workers, and lack of work motivation. If you want solution for these work challenges, here are some tips on how to get things done faster in your workplace, and hopefully they can be of help to your business.
1. Systematize the management
Proper organization of your business’ administration or management system is the primary thing you need. You must have a clear workflow process which everyone in your enterprise should learn for better coordination. There should be a proper delegation of tasks and job descriptions of your employees. Of course, these should be strictly followed, unless there are exceptional situations, to avoid confusion of responsibilities. If there is a clear flow of the whole work process, it would be easier to monitor the tasks and the production itself.
2. Organize your workplace
If you want a faster workflow, be sure that everything needed by your workers for the tasks is ready and easy to find. If your office or workplace is disorganized and full of clutter, your employees could have nasty problems like looking for the stapler or white board marker which could take a lot of time if they are searching in a place where the office materials are kept with the carpenter’s tools. Therefore, make sure that you have your workplace cleaned and organized. Here are some ways to do it:
Everyone must clean – it should not only the janitor who should be responsible in maintaining the orderliness of your office. All your employees should be in-charge of their own quarters since they are the ones who use that part of the office. Make it a habit to have a general cleaning in your office at least once a month.
Get rid of clutter – we are fond of keeping just anything in expectance that they will be used again. For instance, files from 10 years ago are still kept with the recent ones and they just add to the stressful sight of bulky files. Yes, these files may still be helpful but there is a higher chance of no more. It has been found out that 80% of our clutter cannot be used anymore so it means that keeping them is not that big deal. Therefore, tell your employees to get rid of all the obsolete files and unused stuffs that just lie around in the office. Anyway, some documents are usually considered outdated after 5 years.
Segregate materials and files – you should also train your employees to segregate all their work stuffs to avoid clutter and difficulty in looking for things. There should be an organized filing system and each material needed in the office must be sorted out properly.
3. Implement specialization of work
This is also important if you want your works to be done faster. From the beginning, you should not hire people who are not knowledgeable in the position. To make work faster and easier, you better assign employees who have expertise in the post where you put them on. Having workers who are knowledgeable in a particular task is advantageous since they need lesser supervision and adjustment. This means then that they can do the work easily and quickly. If you already have employees, you should know where they are good at and put them in those positions.
4. Be strict with deadlines
You should teach your employees the importance of meeting deadlines. Make them understand that delays will cost your enterprise much and they will be affected by it. You should then be strict in following deadlines so that the workers will be pressured to work faster and avoid laziness at the office.
5. First things first
If your business accepts lots of workloads, learn to prioritize those that have come first. Surely, those that come earlier have earlier deadlines than the later ones so you and your workers should give more focus on them. This can help avoid missing deadlines and even confusion of which comes first.
6. Give incentives
Motivation can help your employees be more enthusiastic in their works. If you implement rewards like the employee of the month title or bonuses, your workers will be more motivated to work harder and faster. You can use this strategy then to make them meet deadlines.
If you want more income, you need more clients. Therefore, do not break the trust of your existing clients by disappointing them with delays. Being efficient and on-time when it comes to work should be instilled in the minds of your employees so they will be more motivated to work faster.
